1. FINANCE AND ADMINISTRATION DIRECTOR

EGMONT – The Royal Institute for International Relations is an independent think-tank based in Brussels. As a platform for in-depth analysis and a forum for debate in the field of international politics, the Institute has the ambition to make a useful contribution to the policy-shaping process through its publications, conferences, and seminars. Along with its three Research Programmes and a specialised Education & Training Programme, the Institute is supported by a Communication Department and a Finance and Administration Department.
The Egmont Institute is currently seeking a full-time Finance and Administration Director (M/F), reporting to the Director General, to lead a team of three colleagues.
RESPONSIBILITIES
The Finance and Administration Director will lead the Finance and Administration department from both a human resources perspective and a contents perspective, ensuring compliance to regulations and contracts, accuracy and timeliness of financial information, sound financial management and procurement and provision of best practice HR policies and procedures to support other departments and programmes in implementing the strategy. He/she will network with donors and external contacts to remain up to date of relevant regulatory changes and best practices.
He/she will
- Define, in co-construction with the Director General and Programme Directors, the financial strategy of the Institute and consolidate its overall annual and pluri-annual budget. Present the financial results and give financial advice regarding the development of strategic decisions in order to make sure that the management disposes of sufficient information to make decisions.
- Manage the overall budget of the Institute in order to best support the different activities of the departments and programmes and organise procurement of general equipment and services to achieve optimal results for the Institute in a compliant, cost-effective and qualitative manner.
- Develop Human Resources policies and coordinate projects to improve compliance regarding well-being at work, to optimize the human capital, to foster professional development and to support the change processes within the entire organisation. Maintain formal and informal contacts with the employees of the various programmes of the Institute in order to create a positive social climate.
- Coordinate/support/advise other departments and programmes with their legal, compliance, human resources, fundraising, grant management, procurement and operational issues to ensure compliance and consistency across the organisation and smooth delivery on activities.
- Manage external partnerships with key service providers, banks, external accountant, and develop a network of relations to proactively be kept informed of relevant developments. Establish relations with administrative personnel of donors and partner organisations to ensure smooth exchange of information and contract management.
- Contribute to building, within the entire organisation, a solid team of qualified employees and encourage the collaboration between them in order to guarantee the smooth functioning of each department/programme.
- Share one’s expertise within the administrative management and other departments and programmes in order to disseminate relevant best practices, contribute to employees’ professional development and guarantee compliance and long-term continuity.
- Contribute to the preparation of the meetings of the Management Board (CA).
PROFILE
Knowledge:
- A Master’s degree or equivalent in a relevant management domain
- Good understanding of Project Cycle Management and major donors’ requirements.
- Good understanding of Belgian social regulations and financial matters.
- Excellent knowledge of French and English, both written and oral. (Knowledge of Dutch is an asset).
Experience:
- 10 years of relevant professional experience, including 5 years in a senior administrative management position
- 5 years’ experience in project/grant management, preferably of European Union-funded Research Projects in think tanks or development cooperation.
- Experience in writing subsidy requests, tender proposals and project applications.
- Experience with financial management software and tools.
- Experience in fundraising desirable.

2. Trainee Project Assistant for the European Affairs Programme

The Egmont Institute is looking for a talented, skilled, and motivated trainee to join our European Affairs Programme as Project Assistant starting from September 1, 2025. The position involves providing logistical and organizational support for our projects and events and assisting in research activities.
Requirements
• Master’s degree in European studies, political science, international relations, law, or a related discipline
• Knowledge of the internal workings of the EU institutions and decision-making processes
• Excellent drafting and editing skills
• Excellent organizational skills, capable of handling multiple tasks and prioritizing, being responsive and a fast learner and have attention to detail; experience in the organization of events in the field of EU affairs and/or experience in EU projects are considered an advantage
• Fluency in English, and in French or Dutch is an asset
• Knowledge of MS Office
• Interest in working in a multicultural team
• Eligible to work in Belgium (EU citizen or valid work permit)

We offer remunerated traineeship for a period of 6 months, starting on 1st September 2025.The successful candidate will join our dynamic office, where everyone plays an important role and has an impact. 3. Project Manager for the Education & Training Programme

EGMONT – The Royal Institute for International Relations is an independent think-tank based in Brussels. As a platform for in-depth analysis and a forum for debate in the field of international politics, the Institute has the ambition to make a useful contribution to the policy-shaping process through its publications, conferences and seminars. Along with its research programmes, the Institute has a specialised Education & Training Programme. This Programme conducts projects in the three following areas:
- Diplomacy and international relations;
- Good governance in the field of public administration;
- Civilian crisis management (CCM).
The Programme aims at contributing to the reinforcement of the public administrations of Belgium’s key partner countries by strengthening the competences of their diplomats and civil servants. To this end, the Programme develops and manages strategic partnerships with a strong political dimension.
The main activities of the Programme are to organise specialised and “tailor made” training sessions in Belgium and in partner countries, to manage professional internships in Belgian public services, to advise and assist its local partners such as Ecoles Nationales d’Administration, and finally to train all Belgian candidates for CCM missions and provide a strategic contribution on CCM in both Belgian and European fora.
The Education & Training Programme is currently seeking a full-time Project Manager to join its team, starting as soon as possible for an initial duration until 31 December 2025.
TASKS
- Developing and managing strategic partnerships and training sessions for civil servants of partner countries (in-country)
The Project Manager will be responsible for the identification and/or management of partnerships and capacity-building projects in partner countries of the Belgian development cooperation. He/she will:
- Conduct identification, follow-up and evaluation missions in these countries (approx. 2x/year, depending on the project) in an autonomous way;
- Carry-out stakeholder management (with local partners, donors, local and Belgian governments etc.);
- Write strong and sharp analysis which can constitute the basis for intervention proposals, adjustments of ongoing activities or end-term evaluations;
- Set up subsidy requests (narrative and financial elements);
- Autonomously implement the projects, potentially with the support of a Trainee Project Assistant (intern).
- Conception and organisation of training sessions for foreign diplomats (in Belgium)
Following ad hoc allocation of training projects, the Project Manager will be responsible for specific training sessions organised at the request of the Belgian Ministry of Foreign Affairs. The allocation of the training courses takes into account the staff members’ expertise, interests and background.
- Administrative and communication support tasks
- When implementing projects and partnerships, the Project Manager will also be responsible for administrative (logistics) and budgeting aspects (narrative and financial reports), potentially with the support of a Trainee Project Assistant.
- He/she will also be expected to ensure or supervise effective project communication (on social media platforms, the website, and during networking events).
PROFILE
Knowledge:
- A Master’s degree or equivalent in a relevant domain (political science, international relations, law, development cooperation);
- Good understanding of Project Cycle Management;
- Understanding of diplomatic functions;
- Excellent knowledge of French and English, both written and oral (knowledge of Dutch is an asset).
Experience:
- 3 years of professional experience, including in project development and implementation in development cooperation; international relations and/or European affairs ;
- Experience working on international projects, including on the field;
- Experience in writing subsidy requests, tender proposals and project applications.
Skills:
- Strong analytical thinking and writing;
- Team-player with strong inter-cultural competencies;
- Capacity to develop smooth collaboration with external partners;
- Ability to deliver results within tight time frames, manage multiple assignments and track progress on several processes simultaneously;
- Resistance to stress;
- Ready to travel to difficult countries;
- Ability to empower, train and supervise Trainees;
- IT-savvy (Microsoft suite, Outlook);
- Capacity to use online training and meeting platforms (Zoom, Microsoft Teams, Webex, etc.).

For an Autumn semester internship (Sept-Jan), applications must be received by 15 June at the latest.

The Egmont Institute offers student internships in both their Communications & Events department and in the European Affairs Programme. Please make sure to apply to the correct one!
The Communications & Events department of the Egmont Institute is regularly looking for the assistance of a full-time Intern for periods of 3-5 months during the academic year. The student internship is not remunerated, is onsite in our Brussels office, and must be combined with ongoing Masters studies in a Belgian university. Our working language is primarily English, so a minimum C1 level is required.

The European Affairs Programme at the Egmont Institute regularly seeks a full-time Intern to support its research activities and events for 3–4-month periods during the academic year. Knowledge of the internal workings of the EU institutions and decision-making processes is essential.
This onsite internship, based in our Brussels office, is unpaid and must be combined with ongoing studies in a Belgian university. The working language is English, and proficiency in Dutch or French is an asset. We are looking for a fast learner with a positive attitude and a wide range of interests.
